Building quotation template

A building quotation sets out the price for a piece of building work, item by item, with what is not included, how long the price stands, when the work starts and how it is paid for. For a consumer it also explains the right to cancel and includes the model cancellation form. A builder sends one after every site visit, with the client, the site, the items of work and the price changing each time.

The rules it usually needs

Written in plain English when the template is set up.

  • Once for each item

“One row for each item of work, and one for each payment stage.”

The site notes priced six items and set three payment stages, so the tables have six and three rows.

  • One of several wordings

“Make the price valid for a number of days, or fixed until the agreed start date.”

The notes said the price was valid for 30 days, so that wording was used.

  • One of several wordings

“Take payment in stages, or as a single payment after completion.”

The client asked to pay in stages, so the staged payment table was used.

  • The AI decides from the paperwork

“Include the right to cancel and the cancellation form for a consumer contract made away from the business premises, and the payment notices clause only for a client who does not live in the property.”

The client is a homeowner accepting by email, so the right to cancel was included and the payment notices clause was left out.

Questions people ask

What is the difference between a quote and an estimate?

A quote is a fixed price for the work described, usually for a set period. An estimate is a best guess that can change. This document is a quotation.

How long should a building quote be valid for?

There is no fixed rule. This quotation lets the builder choose a number of days, or fix the price until an agreed start date.

Can a customer cancel a building contract?

A consumer who agrees the contract at home, or by email, online or by phone, usually has 14 days to cancel. The quotation explains this and includes the model cancellation form.

What are provisional sums?

Allowances for items not yet priced, such as tiles the client will choose, adjusted to the actual cost later.

Should a quote include VAT?

A VAT-registered builder shows VAT separately. A builder who is not registered says that no VAT is charged.
