Quotation template
A quotation gives a customer a price for a piece of work, line by line, with what it assumes, what is not included, when the work can start and how it is paid for. It says how long the price is valid and which terms apply, and for a consumer who accepts at a distance it explains the right to cancel. A business sends one after every enquiry, with the customer, the items and the price changing each time.

The rules it usually needs
Written in plain English when the template is set up.
- Once for each item
“One line for each item quoted.”
The worked quote had three items, so the price table has three lines.
- One of several wordings
“Show a VAT line when the supplier is VAT registered, or say no VAT is charged.”
The supplier gave a VAT number, so the VAT line at 20% was shown.
- One of several wordings
“Invoice in full on completion, or a deposit on acceptance and the balance on completion.”
The call notes said 50% on acceptance, so the deposit wording was used.
- The AI decides from the paperwork
“Include the consumer notes and the right to cancel only for a consumer customer who accepts at a distance or away from the premises.”
The customer is a business, so they were left out, with that reason shown.

Questions people ask
Is a quotation binding?
A quotation is an offer. Once the customer accepts it, it forms a contract on the terms it states.
How long should a quotation be valid?
Long enough for the customer to decide, often 30 days. The quotation states the date or period, after which prices may be revised.
Do I have to show VAT on a quotation?
A VAT-registered business shows VAT separately. A business that is not registered says that no VAT is charged.
Do consumers have a right to cancel?
A consumer who accepts at a distance or away from the business's premises usually has 14 days to cancel. The quotation includes that section and the model cancellation form when it applies.
