DocuWeave

Terms of Service

Version 1.2, effective 16 October 2026.

These terms are written to be read. They say what DocuWeave does, what it costs, what we are responsible for and what you are, and how to leave. Earlier and later versions are kept at docuweave.ai/terms/[version].

1. Who we are

1.1 DocuWeave is a trading name of Rabblepop Ltd, a company registered in England and Wales, company number 17361712, registered office 320 Firecrest Court, Centre Park, Warrington, WA1 1RG ("we", "us", "our"). Our VAT number is GB529572265.

1.2 You can contact us at support@docuweave.ai.

2. These terms, and who they are for

2.1 These terms are the contract between us and the business that holds a DocuWeave account ("you"). You accept them when you create an account, by ticking the box that says "I agree to the Terms of Service (version 1.2), and I am using DocuWeave for my business". We record the version you accepted and when. Schedule 1 (data processing) forms part of them.

2.2 The person who accepts these terms confirms that they are authorised to do so for the business. Everyone in your organisation who uses DocuWeave ("your users") must follow these terms, and you are responsible for what they do in your account.

2.3 DocuWeave is for businesses. It is for use in a trade, business, craft or profession, including by sole traders, partnerships, charities and public bodies. By ticking the box when you create an account you confirm that you are using it for that purpose and not as a consumer.

2.4 If, despite that, the law treats you as a consumer, nothing in these terms takes away the rights the law gives you as a consumer.

2.5 How we handle the personal data of your users and contacts as a controller (for example their names, email addresses and billing details) is in our privacy notice at docuweave.ai/privacy.

3. What DocuWeave does

3.1 DocuWeave turns documents you send again and again into templates, and fills them from your paperwork. You upload an example document to make a template, or start from a template in our library. You then add the paperwork for a particular matter (emails, certificates, notes and so on). DocuWeave suggests a value for each field, shows the passage each value came from, checks the document against the guidance on its template, and produces a draft.

3.2 A person at your organisation must review and approve every document. Nothing can be downloaded until someone has approved it, and DocuWeave records who approved it, when, and exactly what.

3.3 DocuWeave is not a law firm and does not give legal advice. We are not regulated by the Solicitors Regulation Authority or any other legal regulator. Nothing DocuWeave produces is advice on your circumstances.

3.4 We may improve and change DocuWeave. If we remove a feature you are paying for, we will tell you at least 30 days before, and you may cancel and get a refund for the unused part of any period you have paid for.

4. Plans, prices and payment

4.1 Plans. DocuWeave has a Free plan and three paid plans, Starter, Team and Business. Each plan's price, the number of templates you can make and the number of documents you can make each month are as shown on our pricing page at docuweave.ai/pricing and at checkout when you subscribe. Every template your organisation makes counts towards its plan's limit, including templates later deleted; templates you add from our library do not count. Every account starts on the Free plan, which is a plan you can stay on and needs no card. There is no free trial of a paid plan.

4.2 Prices and VAT. Prices are as shown on the pricing page and at checkout. They exclude VAT, which is added at the rate that applies.

4.3 Paying. Paid plans are paid in advance, monthly or yearly as you choose, by card through our payment provider, Stripe. Your subscription renews automatically at the end of each month or year until you cancel. Your document allowance is monthly on every plan, including when you pay yearly: it resets at the start of each calendar month and unused documents do not carry over.

4.4 Document packs. If you need more documents than your plan allows, you can buy extra documents in packs, at the price shown when you buy them. Packs are paid once and are used only after your monthly allowance, and only while you are on a paid plan. They never expire. If your account moves to the Free plan, your unused pack documents are kept but cannot be used until you are on a paid plan again. If you close your account, any pack documents still unused are lost. Packs are not refunded, except where these terms say we will (sections 13.3 and 15.3 and Schedule 1, paragraph 6.3).

4.5 Changing the price. We may change our prices. A change applies to you only from your next renewal that is at least 30 days after we email you about it, and you may cancel before it applies.

4.6 Changing plan. You can move to a different plan, or between monthly and yearly payment, from Manage billing in DocuWeave.

4.7 Offers. There is no free trial: the Free plan is the way to try DocuWeave. If we give you a free or discounted period, for example a founding place, the terms of that offer that we confirm to you in writing apply alongside these. When the offer ends, your account moves to the Free plan unless you choose to subscribe. We will use your name or logo in our marketing only with your written agreement.

4.8 If a payment fails, Stripe will retry over the following days and email you. You keep your paid plan's limits for 14 days from the first failed payment, and after that your account has the Free plan's limits until the payment is made. When it is paid, your plan's limits return. If Stripe's retries all fail, your paid subscription ends and your account moves to the Free plan. We do not delete your content because a payment failed.

5. Cancelling and refunds

5.1 You can cancel at any time from Manage billing in DocuWeave, or by emailing us. We will confirm by email, with the date your paid plan ends. You keep the paid plan until the end of the period you have paid for, and your account then moves to the Free plan.

5.2 Refunds. If you ask us within 14 days of your first payment for a paid plan, we will refund that payment in full; your paid subscription then ends and your account moves to the Free plan. Otherwise we do not give refunds, including for part of a period or for document packs, except where these terms say we will (sections 3.4, 13.3 and 15.3 and Schedule 1, paragraph 6.3) or where the law requires it.

5.3 You can close your account entirely by emailing us. What happens to your data then is in section 8.

6. Accounts and security

6.1 Your users sign in with a link sent to their email address. Two-step sign-in with an authenticator app is available to every user, and your account owner can make it compulsory for your organisation. We recommend that you do.

6.2 You are responsible for:

6.3 Tell us straight away at support@docuweave.ai if you think someone has got into your account without permission.

7. Your content, and what you are responsible for

7.1 Your content is yours. "Your content" means everything you or your users put into or make in DocuWeave: example documents and templates you upload, your paperwork, the values taken from it, your rules and guidance, and the documents you make. You own it, or your licensors do. We claim no ownership of it.

7.2 Our permission to use it. You give us permission to host, copy, process and display your content only to provide DocuWeave to you, to keep it secure and working, and as Schedule 1 allows. We do not use your content to train AI models, and neither does anyone we work with.

7.3 Using real documents. You may use DocuWeave with real documents about your clients, customers, staff and other people. When you do, you are responsible for:

7.4 What you approve and send is yours. DocuWeave produces drafts using AI, and AI can be wrong: it can miss a value, take the wrong one or misread a document. That is why every value shows its source and every document needs a person's approval. You are responsible for checking each document, and for every document you approve, download, send or rely on. We do not promise that any value or check is accurate or complete.

7.5 Your records. DocuWeave is not a record-keeping system and does not verify anyone's identity. Keep your own records of anything you are required to keep, for example customer due diligence records under the Money Laundering Regulations 2017.

8. Your data: where it goes, what is kept, and deleting it

8.1 Your paperwork is read in your browser. The paperwork files you add for a document are read on your device and are not uploaded to us or kept. Only their text, or for a scanned page an image of that page, is sent for processing, and it is not stored once the values have been found.

8.2 What we keep. We store the values found, a short passage from your paperwork showing where each value came from, the names of the files they came from, your template files and logo, and the documents you make with their history and approvals.

8.3 Where. Your content is stored and processed by Amazon Web Services in London. The full list of companies that help us provide DocuWeave is in Schedule 1 and at docuweave.ai/sub-processors.

8.4 Export and deletion. You can ask us at any time, by emailing support@docuweave.ai from your account owner's address, to send you a copy of your templates and documents, or to delete particular content or your whole account. We will do it within 30 days.

8.5 When your account closes, we delete your content 30 days after closure, unless you ask us to delete it sooner or the law requires us to keep it. Copies in routine backups are deleted in our normal backup cycle and stay protected until then. Billing records are kept for six years from the end of the financial year, as tax law requires.

9. Templates we supply

9.1 Templates in the DocuWeave library and on our website are general starting points written for common situations in England and Wales. They are not prepared for your circumstances, and we do not update them when the law changes. When we do publish a new version of a library template, it is never applied to your copy automatically: you choose whether to use it.

9.2 Each library template ends with a line saying where it came from. Where a template is adapted from public sector or openly licensed material, that line gives the source and its licence, and the licence's terms apply to that material.

9.3 You are responsible for checking that a template suits your situation and reflects the law when you use it. We do not promise that a template is suitable for any particular purpose or up to date.

9.4 To the extent the law allows, we are not liable for loss arising from your use of a template. Our liability is in any case limited as set out in section 12. Nothing in this section limits liability that cannot be limited by law.

9.5 You may use, adapt and send our library templates, and documents made from them, in your business. You may not republish, sell or share the templates themselves as templates, or use them to build a competing template library.

10. Acceptable use

10.1 You and your users must not:

10.2 If you break section 10.1, we may suspend or close your account under section 13.

11. Availability

11.1 We aim to keep DocuWeave available and working, but we do not promise that it will always be available or free from errors, and it relies on third-party infrastructure. There is no service level agreement.

11.2 We may need to take DocuWeave offline for maintenance. Where we can, we will do it at quiet times and tell you in advance.

12. Our responsibility to you

12.1 What we are not liable for. We are not liable for:

12.2 The cap. Otherwise, our total liability to you for everything arising out of or in connection with these terms, including Schedule 1, in contract, tort (including negligence) or otherwise, is limited to the greater of the fees you paid us in the 12 months before the event giving rise to the claim, and £100.

12.3 What is never limited. Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else the law does not allow us to limit or exclude.

12.4 Except as these terms say, DocuWeave is provided without any other promise, condition or warranty, to the extent the law allows.

13. Suspension and ending the contract

13.1 You can end these terms at any time by cancelling and closing your account (section 5).

13.2 We may suspend or close your account, or one user's access, if you or they seriously or repeatedly break these terms, if a payment is still unpaid after the grace period in section 4.8, or if we reasonably need to in order to protect DocuWeave, other customers or anyone else. We will tell you why, and where we can we will give you a chance to put things right first. If the risk is urgent, we may act first and tell you straight after.

13.3 We may also close an account for any other reason by giving at least 30 days' notice. If we do, we will refund the unused part of any period you have paid for, and a pro-rata part of the price you paid for any pack documents still unused.

13.4 When these terms end, your right to use DocuWeave stops, section 8.5 applies to your data, and sections 7, 9.4, 12, 14 and 17 continue.

14. Our platform, and your feedback

14.1 We, or our licensors, own DocuWeave: the software, the design, the library templates and everything else we provide, other than your content. These terms give you a right to use DocuWeave while they last, not ownership of any of it.

14.2 If you send us ideas or feedback, we may use them freely, without paying you and without any obligation to you. We will not name you in connection with them without your agreement.

15. If we stop offering DocuWeave

15.1 If we stop offering DocuWeave or a paid feature, we will give you at least 30 days' notice.

15.2 Before it stops, you can ask us for a copy of your templates and documents (section 8.4).

15.3 We will refund the unused part of any period you have paid for, and a pro-rata part of the price you paid for any pack documents still unused.

16. Changes to these terms

16.1 We may update these terms. Each version is numbered and dated, and every version stays available at docuweave.ai/terms/[version].

16.2 We will email your account owner at least 30 days before a change takes effect. For a paid plan, the version you accepted applies until your first renewal after that notice. If you do not agree to the change, you may cancel, or close your account, before it applies to you.

16.3 We may make a change sooner where the law requires it, and we will tell you as soon as we can.

17. Notices, complaints and general

17.1 Notices. We will send notices to your account owner's email address. You can send notices to us at support@docuweave.ai, or by post to our registered office.

17.2 Complaints. If something is wrong, email us and we will reply within 5 working days and try to put it right.

17.3 Things outside our control. We are not responsible for delay or failure caused by events outside our reasonable control, such as a failure of a provider's infrastructure we could not reasonably avoid. We will tell you and do what we reasonably can to limit the effect.

17.4 Transfer. You may not transfer your account or these terms without our agreement. We may transfer them to another company that takes over DocuWeave, and will tell you if we do. Your rights under these terms will not be reduced as a result.

17.5 Whole agreement. These terms, including Schedule 1, and any offer terms under section 4.7, are the whole agreement between us about DocuWeave. Neither of us relies on anything not written in them, but nothing limits liability for fraud.

17.6 Other points. If a court finds part of these terms unenforceable, the rest still applies. If we do not enforce a right straight away, we can still enforce it later. No one else has any right to enforce these terms under the Contracts (Rights of Third Parties) Act 1999.

17.7 Law and courts. These terms, and any dispute about them, are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.

Schedule 1 — Data processing

This Schedule sets out the terms required by Article 28 of the UK GDPR. It applies when DocuWeave processes personal data on your behalf.

1. Roles

1.1 For personal data in your content ("your personal data"), you are the controller and we are your processor. "UK GDPR", "controller", "processor", "personal data", "personal data breach", "processing" and "data subject" have the meanings in the UK GDPR and the Data Protection Act 2018.

1.2 This Schedule does not cover personal data we process as a controller, such as your users' account details and billing information. Our privacy notice covers that.

1.3 We may use information about how DocuWeave is used, such as counts of documents, fields and corrections, but never the content of documents or fields, to produce aggregated statistics that improve the service.

2. Details of the processing

Subject matter and durationProviding DocuWeave to you, for as long as you have an account, and until deletion under paragraph 9
Nature and purposeReading the text of paperwork you add, using AI models to find values in it, showing each value with the passage it came from for your users to review, filling your templates, and storing your templates, the values, the passages and the documents you make so you can use them. Hosting, backup, support and fixing faults as needed to do that
Types of personal dataWhatever your documents contain. Typically names, addresses, dates of birth and contact details; identity document details; contract terms; financial information such as bank, salary and tax details; property and company details. Also your users' names, email addresses, roles, sign-in and approval records
Special category and criminal offence dataPossible, depending on your documents (for example health information). You are responsible for identifying your condition for processing it under Articles 9 and 10 of the UK GDPR
Data subjectsYour clients, customers and staff; other people named in your documents; your users

3. Your instructions, and your responsibilities

3.1 We will process your personal data only on your documented instructions, unless the law requires otherwise, in which case we will tell you first unless the law forbids it. These terms, and your use of DocuWeave's features, are your instructions. We will tell you if we think an instruction breaks data protection law.

3.2 You confirm that you have a lawful basis for the processing, have given the data subjects any information the law requires, and that your instructions comply with the law. You are responsible for the accuracy and legality of your personal data and how you obtained it.

4. Our obligations

4.1 Confidentiality. Everyone we authorise to process your personal data is bound by a duty of confidence. We keep all your content confidential, use it only to provide DocuWeave to you, and disclose it only to the sub-processors in paragraph 6 for that purpose. No one at Rabblepop Ltd looks at your content except where you ask us to, for support, and then only as far as the request needs.

4.2 Privilege. In processing your content we act as your agent, under a duty of confidence owed to you. Nothing done under these terms is intended to waive any legal privilege in your content, and we will not say that it does.

4.3 Requests to disclose. If an authority or anyone else asks us to disclose your content, we will refer them to you, tell you promptly unless the law forbids it, and disclose only what we are legally compelled to.

4.4 No training. Neither we nor any sub-processor will use your content to train, fine-tune or evaluate any AI model. This includes the makers of the models DocuWeave uses. We will not switch on any feature of Amazon Bedrock that stores your content or makes it available for review by AWS or a model maker.

4.5 Security. We take appropriate technical and organisational measures to protect your personal data, as Article 32 of the UK GDPR requires. The measures in place are described at docuweave.ai/security.

4.6 Helping you. Taking into account the nature of the processing, we will help you respond to requests from data subjects exercising their rights, and with your obligations on security, breach notification, data protection impact assessments and consulting the Information Commissioner. If a data subject contacts us directly, we will pass the request to you. We provide a DPIA template and our security overview free on request. We may charge reasonable costs for other help that takes substantial time.

5. Personal data breaches

5.1 We will tell you without undue delay, and in any event within 24 hours, after becoming aware of a personal data breach affecting your personal data.

5.2 We will tell you, as far as we know them, what happened, the categories and rough numbers of people and records affected, the likely consequences, and what we have done or propose to do. We will take reasonable steps to contain the breach and limit its effects, and keep you informed.

6. Sub-processors

6.1 You authorise us to use the sub-processors listed below and at docuweave.ai/sub-processors. We impose on each, by written contract, data protection obligations that give the protection Article 28 requires, and we remain responsible to you for them.

6.2 The makers of the AI models have no access to what is sent to the models and are not our sub-processors.

6.3 We will email your account owner at least 30 days before adding or replacing a sub-processor, and update the list. You may object within that period. If we cannot resolve your objection, either of us may end these terms, and we will refund any fees you have paid for the period after they end, and a pro-rata part of the price you paid for any pack documents still unused.

7. Outside the UK

7.1 Your document content is stored and processed only in the UK. Personal data processed outside the UK is limited to account, billing, usage and error information. Where it goes to the European Union we rely on the UK's adequacy regulations, and where it goes to the United States we rely on the UK Extension to the EU–US Data Privacy Framework or the UK International Data Transfer Agreement or Addendum.

8. Audits and information

8.1 We will make available the information reasonably needed to show that we meet this Schedule, and will allow for and contribute to audits, including inspections, by you or an auditor you appoint, on reasonable notice, during business hours, at most once a year unless there has been a breach or a regulator requires it, and subject to confidentiality. You bear your own costs of an audit and our reasonable costs of supporting one.

9. Deletion and return

9.1 You can ask us at any time to return or delete your personal data (section 8.4 of the terms).

9.2 When your account closes, we delete your personal data 30 days later, unless you ask us to return or delete it sooner or the law requires us to keep it. Copies in routine backups are deleted in our normal backup cycle and stay subject to this Schedule until then. We will confirm deletion in writing on request. Your paperwork files are never stored, so there are none to return.

10. Liability and precedence

10.1 Section 12 of the terms applies to this Schedule.

10.2 If this Schedule conflicts with the rest of the terms about the processing of your personal data, this Schedule prevails.
