Redundancy letter template

A redundancy letter confirms in writing that an employee has been selected for redundancy. It says what notice they are entitled to, when employment ends, what redundancy pay they will receive, and how to appeal. It is sent after the consultation meeting, once selection has been decided.

The rules it usually needs

Written in plain English when the template is set up.

  • Only when…

“The statutory redundancy payment paragraph appears only when the employee has 2 or more complete years of service.”

Graham had 8 years' service, so the statutory redundancy payment paragraph, with the figure from payroll's calculation, was used.

  • Only when…

“The no redundancy pay paragraph appears only when the employee has less than 2 complete years of service.”

With 8 years' service this paragraph was left out.

  • One of several wordings

“Notice: work the notice period, or a payment in lieu of notice.”

The consultation notes said the firm would pay in lieu, so the payment in lieu wording was used, with the last day of 30 October 2026.

  • The AI decides from the paperwork

“Include the Employee Assistance Programme paragraph only when the paperwork shows the employee was reminded of it.”

The consultation notes mentioned it, so the paragraph was included, with that reason shown; the other files said nothing about it.

Questions people ask

Who needs to be sent a redundancy letter?

Each employee who has been selected for redundancy, after the consultation process has finished. It confirms the outcome in writing, so the employee has the notice, end date and pay details to hand.

How much notice does an employee get when they are made redundant?

At least their contractual notice, or the statutory minimum if that is longer. The statutory minimum is one week for each complete year of service, up to 12 weeks, once they have worked for a month or more.

Who gets statutory redundancy pay?

Employees with at least 2 years' continuous service. The amount depends on age, length of service and a weekly pay figure that is capped each April, so check the current cap on GOV.UK.

What should a redundancy letter say about appeals?

That the employee can appeal, how to do it, by when and to whom. This template asks for the deadline in days and the name of the person to appeal to.

Can I use my own redundancy letter instead of this one?

Yes. Upload your own Word or PDF version and DocuWeave turns it into a template in your wording, with the same kind of rules and the same filling from paperwork.
